Phenix Club SRL attaches great importance to protecting the privacy and personal data of its visitors and members. This policy describes how your data is collected, used and protected on the website club-phenix.be, in accordance with the General Data Protection Regulation (GDPR, EU 2016/679) and the Belgian law of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.

Data collected and purposes

Contact form

Surname, first name (optional), email address and message content. Purpose: answering your request. Legal basis: legitimate interest. Retention: 12 months after the last exchange.

Newsletter subscription

Email address. Purpose: informing you of upcoming nights and club news. Legal basis: your consent. Retention: until you unsubscribe (a link is available in every email).

Members area

Nickname (free, chosen by you), profile picture (optional, chosen by you), password (stored in encrypted form), registration date, history of messages exchanged in the chat. Purpose: allowing access to the members area and exchanges between regulars. Legal basis: performance of the contract (your registration). Retention: for the whole duration of your membership, then deletion within 12 months after inactivity or cancellation.

Night booking

First name or nickname, email address and phone number. Purpose: confirming your visit and sending you the confirmation. Legal basis: performance of your request. Retention: 12 months after the night concerned.

Pre-booking and payment

When you make a paid pre-booking, the payment data is processed directly by our provider Stripe (Stripe Payments Europe Ltd., 1 Grand Canal Street Lower, Dublin 2, Ireland). We never store your bank details.

Processors

  • Cloudflare, Inc. — website hosting (San Francisco, USA, with European infrastructure).
  • Amazon Web Services (Amazon SES) — sending the newsletter and transactional emails (Ireland region).
  • Stripe Payments Europe Ltd. — online payment processing (Dublin, Ireland).

Each of these processors is contractually bound to comply with the GDPR.

Cookies

The website only uses cookies strictly necessary for its operation (members area session, security, Cloudflare anti-fraud). No advertising or third-party tracking cookie is set without your explicit consent.

Your rights

In accordance with the GDPR, you have the following rights at all times:

  • right of access to your data;
  • right to rectification of inaccurate data;
  • right to erasure (« right to be forgotten »);
  • right to restriction of processing;
  • right to object to processing;
  • right to data portability;
  • right to withdraw your consent at any time.

To exercise these rights, send an email to info@club-phenix.be setting out your request and attaching a copy of an identity document (for verification). We reply within a maximum of 30 days.

If you consider that your rights are not respected, you may lodge a complaint with the Belgian Data Protection Authority:

We implement the appropriate technical and organisational measures to protect your data against unauthorised access, loss, alteration or disclosure: HTTPS encryption, hashed passwords, regular backups, access limited to authorised persons.
